Talent Acquisition Coordinator (1 Year Contract)
Job Summary
The Talent Coordinator supports the Talent Acquisition team in managing end-to-end recruitment coordination and administrative processes. This role is responsible for coordinating interviews, preparing and processing offer documentations, assisting with statutory recruitments such as LHDN stamping of letter of offer, collecting candidate documentation and ensuring a smooth pre-onboarding process for new hires. The Talent Coordinator plays a key role in supporting recruiters and ensuring an efficient and organized hiring experience for candidates and internal stakeholders.
Key Responsibilities
Recruitment Coordination
- Coordinate and schedule interviews between candidates, recruiters and hiring managers
- Manager interview calendars, meeting invitations and logistics for both virtual and in-person interviews
- Ensure candidates receive interview confirmations, directions and preparation information where necessary
- Maintain accurate candidate tracking and recruitment records
Offer & Documentation Management
- Generate and prepare Letter of Offer and employment-related documents
- Assist with the LHDN stamping process for Letters of Offer in accordance with statutory requirements
- Ensure offer documentation is properly completed, signed and stored
Candidate Documentation
- Collect required documents from candidates including identification documents, educational certificated, employment records and statutory forms
- Verify completeness of candidate documentation prior to onboarding
- Maintain secure and organized records of candidate files
Pre-Onboarding Administration
- Prepare and process pre-onboarding documents for successful candidates
- Coordinate with HR and internal departments to ensure onboarding readiness
- Ensure all pre-employment documentations is completed prior to the start date
Recruitment Support
- Provide administrative support to recruitments throughout the recruitment lifecycle
- Assist with job posting administration and candidate communication when required
- Maintain recruitment trackers, reports and hiring documentation
Process & Compliance
- Ensure recruitment and documentation process comply with company policies and statutory requirements
- Maintain confidentiality of candidate information and HR records
Requirements
Education
- Bachelor’s Degree in Human Resources, Business Administration or a related field
Experience
- 1-3 years of experience in HR administration, recruitment coordinator or talent acquisition
- Experience handling recruitment documentation and offer processes is an added advantage
- Fresh graduates seeking to venture into Human Resources are also encouraged to apply

- Proficient in Microsoft Office (Excel, Word, Outlook)
