Executive Assistant, Regional Office

The Opportunity:

We are looking for a highly skilled and motivated Executive Assistant to provide comprehensive support to our senior Executives in the regional office. This role requires a proactive individual who can efficiently manage the Executive's day-to-day activities and ensure seamless coordination across the APAC region.

 

Key Responsibilities: 

  •       Manage, coordinate, and maintain the Executive’s schedule, including meetings, appointments, and other activities.
  •     Highly proficient in calendar management, effectively handling priorities and resolving conflicts in the Executive’s schedule.
  •    Oversee and manage the itinerary and agenda, travel logistics, and activities, encompassing accommodations, transportation, and meals.
  •       Coordinate with colleagues and external contacts to arrange travel, visas, and lodging.
  •       Coordinate major events involving regional office. Provide support to other senior Executives in regional office when necessary.
  •      Assist in organizing regular partner engagement meetings and events, including managing logistics, preparing for conferences, booking rooms and facilities, and arranging refreshments.
  •        Respond to and send emails on behalf of the Executive, including forwarding them to the appropriate personnel for handling.
  •        Compose routine and non-routine correspondences and presentations from brief notes, oral or written instructions.
  •        Prepare expense reports and manage payments for expense items
  •       Assist with document management and electronic filing, maintaining professionalism and strict confidentiality with all materials.
  •       Support regional office projects, as needed.

 

Qualifications, Skills & Experience:

  •        Experience in providing support to senior management.
  •        Proven ability to handle confidential and sensitive materials and critical assignments professionally.
  •        Independent, meticulous, and maintaining a high level of professionalism in a fast-paced environment.
  •        High level of attention to detail and accuracy.
  •        Proficient computer skills and in-depth knowledge of relevant software such as MS Word, PowerPoint, Excel, etc.
  •        Able to prioritize and multi-task.
  •        Good time management, planning, and organization skills.
  •        Customer-service orientation.
  •        Good verbal and written communication skills.
  •        Flexible and willing to learn.
  •        Proactive and ownership-driven in tasks.
  •        Highly initiative-driven, self-reliant, and motivated individuals.
